Service Description

Southern OHS Solutions has the expertise, experience and knowledge to produce a range of OHS&W policies and/or procedures for your business.  

You can choose from cost effective documentation already prepared that can be adapted to your business or engage Mark to undertake consultancy work at your workplace and develop specific documents that are customised for your business to adhere to your workplace safety program.  

Mark can also review your existing documentation and amend them to reflect appropriate standards and legislative requirements, or undertake audits to ensure what is written down  is occurring on the "shop floor".  

Note: This service is currently provided to organisations in South Australia only (as they may not reflect absolute requirements of other jurisdictions around Australia).  However by late 2011 (when all WHS Laws are passed) this service will be available Australia Wide due to the national harmonisation of safety laws.

Legislative references

The Occupational Health, Safety and Welfare Act 1986 requires employers to have policies and procedures in place.  Specific references include:

Section 19(1)(c) requires employers to provide such information (and instruction, training and supervision) that are reasonably necessary to ensure employees are safe from risks to injury and health.  In otherwords, information such as policies and instructions such as procedures must be supplied.
Section 20 requires employers to prepare and maintain statements (ie: policies and procedures) that set out the arrangements, practices and procedures at the workplace to protect the health and safety of employees  This means policies and procedures must be documented and reasonable steps are made to make employees aware of them.
Section 22(2) sets out requirements that employers must ensure that the workplace is safe from risks to health and safety for any person who enters the workplace, ie: someone who is not an employee.  

While the Act and Regulations (2010) could be investigated further, the above examples clearly reference the need to provide OHS&W policies and procedures in the workplace and it also enables courts the power to impose fines up to $100,000 for first time non compliance!

Document types

There are generally three types of documentation services provided:

Standard generic documents - suit smaller businesses, those who need documentation in place quickly, discharge legislative obligations above, provide some customisation (eg: name of business) and supplied in .pdf format by email and/or CDRom.  Quick and easy documentation.
Existing documentation customised - suits medium organisations who require a little more than generic documentation.  This includes tailoring the document a little more to the organisation and some minor wording changes where necessary.  These documents are supplied on CDrom or by email in .pdf format.
Documents developed from scratch or tailored fully to organisation needs - which is pretty self explanatory and incorporates new or existing documentaion, supplied in a range of formats as desired (eg: Word, .pdf, hard copy etc) on CDRom and/or email.

Pricing

Due to intellectual property and other reasons, purchasing of any procedure must occur in advance.   Documents are purchased based on a price depending on the Document type required (a standard generic document may be as cheap as $25!)

Where customisation or tailoring documents is sought, a one off service fee of $50 applies to cover administration and consultation costs and then a quote is provided for remainder of documents sought.  As a rough guide a fee of only $50 per hour is applied to develop and/or review an organisation's OHS&W documentation.

How to purchase 

For Standard Generic Documentation

  1. Work out what OHS&W Documentation you require
  2. Send an email to southernohs@optusnet.com.au or call us on 0400 255 109 to discuss
  3. List the documents you require.  
  4. List the business to be invoiced, address and contact person/phone number.  
  5. Include any instructions in the email (eg: if you are not sure about a particular document overlapping another or if you need assistance choosing the right ones).  

For full or partial customisation of documentation, follow the steps above but indicate what customisation you require and call us to make an appointment to ensure your needs are met!

On receipt of email, an invoice and small questionnaire will be generated according to your purchase requirements (which is easily adjusted if you change your mind) and on receipt of payment the documents requested will be sent.  Terms and conditions apply, and will be provided at time of purchase.

Documentation is sent by email, by default.  However, a CDRom will be produced and posted (incorporated into the price) where a number of documents (eg: 10+) are purchased.  

Purchasing individual documents

All documents can be purchased individually and will be supplied as .pdf which you have access to electronically, can print and add directly to your procedure manual and have access to the free 12 month support below.  

OHS&W procedure packages/manuals

Southern OHS Solutions can tailor a complete documentation manual to suit your business.  All are provided in electronic .doc or .pdf format on CDRom which can be printed in hard copy as well as retained electronically.  

For an additional $10 documents can be provided in hard copy with folder (and $5 for every folder thereafter).

Free 12 Month support

Limited changes are available free of charge for up to 12 months after provision of the document which generally incorporates organisation name change, minor wording, insertion of a small clause, position title and so forth. This aspect of our service is clarified on purchase of documentation or by request.  All other changes are considered a review of the documentation and will attract an administrative charge.

Note: if you ask Southern OHS Solutions to fully tailor a documentation manual for your business, you will be able to edit and make changes to documentation yourself or seek general advice for up to 12 months free of charge.
